Summary:

The Executive Administrative Assistant provides administrative services in support of the Executive Office in their mission to accomplish the Union's goals. This confidential, non-bargaining position is located in Los Angeles, CA and works for and reports directly to a member of the Senior Executive Management Team.

Description:

DUTIES & RESPONSIBILITIES:

  • Provide and coordinate administrative support to the Senior Executive Management Team
  • Creates spreadsheets, update and maintain databases and other record-keeping and administrative systems as requested
  • Attends and participate in senior management staff meetings, assisting in agenda preparation, typing and distributing minutes, and coordinate follow-up work from meetings as needed
  • Prepare confidential correspondence for employers, and constituents, reports, budgets, legal documents, and human resource related materials.
  • Establish and maintain confidential hard copy and/or electronic filing system
  • Process member and staff requests and complaints and refers to appropriate personnel for resolution
  • Process mail and phone calls for Senior Executive Management Team
  • Maintain confidential personnel and Human Resource files as directed
  • Track and maintain system of inventory and order office supplies for the Los Angeles Office with in appropriate budget guidelines
  • Maintains working systems of employees RTO's for assigned appropriate Division or Department
  • Work on confidential special projects as assigned
  • Assist Senior Management personnel in crafting monthly projected expenses.
  • Maintain calendar and coordinate travel arrangements
  • Represent Senior Management Team in interaction with other managers, co-workers, members, vendors or associates.
  • Coaching and development of other Administrative Assistants
  • May include other duties as assigned by immediate supervisor
Qualifications:
  • Ability to maintain a high level of confidentiality
  • Demonstrated expertise using Microsoft programs, including Word, Excel, Power Point, Access and Outlook
  • Demonstrated ability to type 65 wpm
  • Demonstrated knowledge of standard business documents and table formatting to prepare materials accurately
  • Ability to set up and maintain Excel spreadsheets; the ability to setup Access databases
  • Demonstrated Proficiency using the Internet as a research tool
  • Demonstrated Experience composing grammatically correct correspondence, reports, plans and editing drafts to correct grammar, spelling and punctuation
  • Excellent organizational skills
  • Ability to communicate and relate respectfully with a diverse membership and staff
  • Commitment to provide accurate, efficient and friendly service to staff and members
  • Must exercise independent judgment and initiative in operational problems
  • Demonstrated ability to provide leadership to other admin staff
  • Ability to multi-task and must work well under pressure
  • Able to prioritize and complete workload
  • Excellent punctuality and attendance
  • Bilingual skills highly desirable
  • Ability to work irregular hours including some evenings and weekends as needed
  • Able to create, plan, develop, and implement programs and systems to further Union goals
  • Minimum 4 years experience providing administrative support to senior staff in a labor, political, governmental or public-interest organization

Physical Requirements:

Sitting at a computer workstation for extended periods (up to four hours at a time) typing. Lifting up to 20 pounds. Work long or irregular hours including nights and weekends. Some travel will be required.

Scope and Nature of Supervision:

Confidential Administrative Assistants will report to their respective Division Director or Executive Office Manager on a day-to-day basis as well as other designees as assigned.
